Salt+Sun Session Terms & Policies
1. BOOKING & PAYMENT
A signed session agreement and payment are required to reserve your session date and time. Your session is not confirmed until both are complete. All prices are in USD and processed securely through Stripe.
Heirloom Portraits (families, couples, seniors): Your $500 session fee is due at booking to reserve your date and is non-refundable. The session fee covers the full guided experience and your portrait session. Artwork and any digital files are selected at your reveal appointment following the session and invoiced separately at that time.
Headshot & Branding Sessions: A 50% non-refundable retainer is due at booking to reserve your date. The remaining balance is automatically charged to the card on file 24 hours before your session. By completing your booking, you authorize Salt + Sun Studio to charge that balance at that time.
2. CANCELLATION POLICY
7 or more days before your session: Your retainer or session fee is forfeited but may be applied as a credit toward a future session booked within 6 months. Any remaining balance will not be charged.
3–6 days before your session: Your retainer or session fee is forfeited and no session credit is available. Any remaining balance will not be charged.
Within 48 hours of your session: Your retainer or session fee is forfeited, and for Headshot & Branding sessions the remaining balance is due in full. At this stage your photographer has reserved your time exclusively and preparation is complete.
No-shows: If you do not arrive within 15 minutes of your scheduled start time without prior communication, your session is treated as a no-show. Any remaining balance is charged in full, and no refund, credit, or reschedule will be offered.
Weather: Weather-related cancellations are governed by our Weather & Rain Policy (Section 4) and are not subject to the standard cancellation terms above.
3. RESCHEDULING
One complimentary reschedule is available with a minimum of 72 hours' notice prior to your session. Rescheduled sessions are subject to availability and must take place within 60 days of the original date. Requests made within 72 hours of your session are treated as cancellations, and the cancellation policy applies.
4. WEATHER & RAIN POLICY
Southwest Florida is one of the most beautiful places in the world to be photographed and like any coastal paradise, the weather sometimes has its own plans. We monitor forecasts closely in the 48 hours before every session, and if conditions look questionable, we'll contact you directly. Here's how we handle it so you never have to worry:
Seasonal scheduling: During the summer months (May–October), sessions are typically scheduled for morning or the golden hour before sunset, when light is best and afternoon storms are most likely. We'll always confirm your window at booking.
Weather events: In the event of active rain, lightning, or severe weather at your session location and time, you may reshoot within 24 hours (our first priority, subject to availability) or receive a full refund if a reshoot isn't possible. Overcast skies and light clouds do not qualify as a weather event.
Tropical storms & hurricanes: If a named tropical storm or hurricane threatens the Southwest Florida area within 72 hours of your session, your session is automatically cancelled. You'll receive a full refund and direct communication from us, with zero hassle.
5. TIMING & LATENESS
Session times are set with intention — the light, the location, and bookings all depend on everyone arriving on time.
If you're running late:
- Up to 10 minutes: your session begins from the original start time; lost time may be added to the end.
- Up to 15 minutes: your session is shortened accordingly; pricing remains the same.
- More than 15 minutes without communication: your session may be treated as a no-show at the photographer's discretion.
If you know you're running behind, just text us, a heads-up changes everything.
If your Salt + Sun photographer is running late:
- More than 10 minutes: your session is extended by the equivalent time at no charge.
- More than 20 minutes without prior communication: you're entitled to a full refund or a complimentary reshoot — your choice, no questions asked.
Golden hour sessions: Sunrise and sunset sessions have a fixed natural-light window that cannot be extended regardless of arrival time. We'll always make this clear at booking so you know exactly how time-sensitive your start time is.
6. IMAGE DELIVERY & GALLERY
Heirloom Portraits: Your portraits are ready for viewing within 10 business days of your session. We meet virtually for a reveal, where we view your images together and select the artwork and any digital files designed for your home. Chosen artwork is produced through a professional lab and, when ready, delivered and installed. Digital files, when purchased, are provided as high-resolution downloads suitable for printing.
Headshot & Branding Sessions: Your private online gallery is delivered within 10 business days via email and remains accessible for 30 days. Your session includes the number of final retouched images specified at booking, delivered as high-resolution digital files. Additional images and add-ons are available at delivery and remain available for 30 days. We recommend downloading promptly; gallery extensions beyond 30 days may be available for a $25 fee, subject to availability.
7. LOCATION & ACCESS
Salt + Sun Studio photographs on location across Southwest Florida. Clients are responsible for any applicable parking or beach-access fees at their chosen location. Clear meeting-point instructions are always provided prior to your session. For on-property hotel sessions, access is coordinated through the hotel partnership; please confirm details with the concierge or guest services desk before your session date.
8. MODEL RELEASE & IMAGE USAGE
By booking a session with Salt + Sun Studio, you grant Salt + Sun Studio a non-exclusive license to use session images for portfolio display, website content, social media, and marketing materials. If you prefer that your images not be used for marketing purposes, please indicate this in writing at the time of booking. Your request will be honored in full and confirmed in your session agreement.
9. LIABILITY
Salt + Sun Studio carries general liability insurance. We are not responsible for weather conditions, natural events, or circumstances beyond our control that affect session quality or scheduling outside the terms outlined in our Weather Policy above. Clients are responsible for the safety and supervision of minors during all sessions. Salt + Sun Studio and its photographers are not responsible for injuries sustained during a session resulting from client actions or chosen locations.
10. GOVERNING POLICY & UPDATES
These terms apply to all Salt + Sun Studio sessions and supersede any prior verbal or written agreements. Salt + Sun Studio reserves the right to update these policies at any time. The version in effect at the time of your booking confirmation governs your session.
